The MEP Contracting and Project Execution Workflow represents the complete lifecycle of an MEP contracting project, starting from the initial client inquiry or tender participation and continuing through estimation, contract management, project execution, financial tracking, and training management. The workflow integrates multiple operational processes into a structured system to ensure smooth coordination between sales, project management, procurement, finance, subcontractors, and workforce training activities.

The workflow begins with the Lead to Project Setup process, where potential opportunities are captured either through a direct lead inquiry or through tender bid participation. During this stage, the sales or estimation team prepares the project estimation and generates a sales quotation based on the scope of work and expected resources. Once the quotation is approved by the customer, the system proceeds to create the project. At the same time, tender bid records can also be managed and converted into active projects once the bid is successfully awarded.

After the project is created, the system manages important project setup activities such as BOQ (Bill of Quantity) preparation, contract creation, inspection compliance preparation, and permit or certification requirements. The BOQ defines the project scope, quantities, and costing structure(material, labour and overhead), which is later converted into a detailed job cost sheet. The job costing module allows the organization to analyze project profitability, track profit and loss, and maintain accurate cost estimation. During this stage, budgeting is also prepared and approved to ensure financial control before project execution begins.

Contract and compliance management is prepared to support the project. Contracts related to installation, maintenance services, or equipment supply can be created and managed. Customer invoicing rules and billing schedules are configured according to the contract terms. Contract expiry notifications can be issued to customers, and contract renewals can be managed if long term service agreements are involved. For MEP projects, regulatory compliance and safety approvals are critical, so inspection compliance processes are also prepared. This may include creating permits for electrical installations, safety approvals for plumbing and mechanical systems, and issuing certificates or licenses required by regulatory authorities before installation or commissioning activities begin.

Once the project setup is completed, the workflow moves into project execution and operational management. The active project is managed through job orders that coordinate multiple operational activities including material procurement, timesheet tracking, equipment allocation, maintenance management, and risk management. Material requirements are raised through material requests and converted into purchase orders. Inventory is updated after procurement, vendor bills are generated, and job costs are updated automatically based on purchased materials and vendor bill quantities.

The project execution phase also manages equipment maintenance and operational resources. Maintenance equipment records are created and linked to the project to track asset usage and service schedules. Maintenance checklists and maintenance planning ensure that equipment is inspected and maintained regularly to avoid operational interruptions. If materials are required for equipment maintenance, material requests can be generated directly from maintenance tasks.

During project execution, the workflow also supports risk management and change management processes. Any risk or incident related to job orders can be recorded in the system, allowing project managers to monitor issues and take corrective actions. Similarly, if project scope or costs change, a change order process is initiated. These changes must be approved by the project manager and the customer before creating sales orders to ensure transparency and contractual compliance.

The workflow includes a flexible subcontractor management process that supports two financial approaches based on the project requirement and contract type. Subcontractors are assigned through job orders to handle specialized MEP activities, and their work progress is tracked within the project. For long-term or progress-based work, the system uses a Vendor IPC (Interim Payment Certificate) flow, where completed work is certified through IPCs, approved, and then converted into vendor bills with applicable retention and advance adjustments before payment. Alternatively, for fixed-scope or short-term tasks, a standard Purchase Order to Vendor Bill flow is followed, where a purchase order is issued, and vendor bills are generated based on delivered services or quantities and validated against the PO before payment. This dual approach ensures flexibility, accurate cost tracking, and proper financial control for all types of subcontractor engagements within MEP projects.

For customer billing, the workflow supports Sales IPC for progress billing. As project work progresses, Sales IPCs are prepared to record completed work quantities and project milestones. Based on approved Sales IPCs, progress invoices are generated and submitted to the customer. Retention and advance deductions can also be applied during invoicing, ensuring that billing complies with contractual payment terms.

Financial tracking is handled through progress billing and job cost monitoring. Progress invoices are generated based on work completion and contractual milestones. The system continuously monitors the progress billing against actual project costs to maintain accurate financial control. This ensures that project managers can track revenue, expenses, and profitability throughout the project lifecycle.

Daily project monitoring is also incorporated through daily site logs, where site activities are recorded and submitted to the project manager for review. This ensures proper documentation of daily work progress, workforce activities, and operational issues, which helps maintain transparency and accountability in project execution.

In addition to operational and financial management, the workflow integrates a training management system for workforce compliance and skill development. Training managers can configure training programs related to project activities and safety requirements. Training requests are generated for workers, supervisors, and contractors involved in the project. Trainers and participants are assigned, training sessions are scheduled, and training execution is monitored until completion.

Once the training sessions are completed, the system records the results and issues certificates or licenses to participants who successfully complete the training.
